Most Bay Area event venues force you to use their in-house catering. Villa Ragusa doesn’t. For families planning a wedding with specific cultural dishes, a religious celebration requiring certified food or a corporate event with unique dietary needs, that flexibility changes what’s possible. Here’s how outside catering works at Villa Ragusa and what you need to plan for.

What the Venue Requires From Your Caterer

Any caterer you bring in must be pre-approved by the banquet office and hold a valid business license and current health certificate. This isn’t a formality. It protects you as much as the venue, since an underinsured or unlicensed operation can put your event at risk. Your caterer and any staffing agency involved will both sign individual contracts confirming they’ve read the venue’s rules. A required walkthrough happens one month before the event so everyone is on the same page about kitchen access, timing and cleanup expectations. If you’re weighing caterers, start conversations early, because the pre-approval process takes time.

Room Minimums and Fees to Budget For

Outside catering carries a room rental fee plus a separate outside catering fee based on which space you book and how many guests you expect. Each room has a minimum guest count. The West Gallery and Campbell Gallery require 100 guests, the East Gallery requires 150 and the combined and Grand Gallery configurations scale up from there. Room rentals cover a five-hour event, and additional hours can be arranged for a fee. A non-refundable deposit of $2,000 secures your date, and it applies to your final bill. Final payment on all estimated costs is due 10 days before the event.

The Beverage and Decor Rules You Should Know

Even with outside catering, all beverages come from Villa Ragusa. That includes soft drinks, beer, wine and cocktails through one of the venue’s bar packages. Decorations require pre-approval to meet Campbell fire code, nothing can be taped or tacked to walls without permission and glitter or confetti are never permitted. An on-site Villa Ragusa manager is required for every outside catering event. December bookings are limited on certain dates, so ask about availability early if you’re planning holiday-season celebrations.
